Sharing this information is entirely optional—you can choose how much or how little to disclose. However, your name is always part of your profile and may be visible to assigned assistants or team managers. If you are registering on behalf of a business or organization, you may also be able to create a dedicated “Business Profile” using a valid company email address and billing details.
- Payment Information – To process subscriptions or service payments, you may be required to link a credit or debit card to your eHands account. These transactions are handled by certified third-party payment processors. For your safety, eHands does not store your complete card details on its own servers.
- Virtual Assistant Application Information – The eHands platform operates as a managed services environment where clients are matched with qualified virtual assistants and support professionals (“Assistants”) based on their business needs. If you're joining eHands as an Assistant, we may request additional information during onboarding—such as your date of birth, location, resume, portfolio, professional licenses, or verification documents—depending on the nature of tasks you'll perform. In certain jurisdictions, business IDs or compliance documents may also be required. eHands may collaborate with verification partners to conduct background checks where applicable, helping ensure a safe and professional experience for all users on the platform.
- Payment Details for Assistants – To ensure timely and accurate payments, eHands may collect and securely store relevant financial information from registered assistants. This can include bank account numbers, tax identification details, and other payment-related credentials. This information is used solely to process payouts and meet compliance obligations, and is shared only with trusted payment partners under strict confidentiality.
b) Information Collected Through Use of Services (Device and Communication Data, User Reviews and Ratings)
- Location Data – In order to deliver reliable virtual staffing and task-based services, eHands may collect location information from users and assistants. When you access our platform, we may capture your device's approximate or precise location—especially when the mobile application is in use or running in the background.
If you tag or label addresses like “home,” “office,” or “client site,” this information may also be stored to personalize your experience and streamline task allocation. Location tracking is essential for certain use cases such as regional assistant assignment, work-hour alignment, or fraud prevention.
If you give explicit permission through your device settings, eHands may continue to collect background location data to notify you of available support, time zone adjustments, or region-specific updates—even when the app is not actively running. This data helps maintain service accuracy and ensures your assigned assistant is operating within expected boundaries. In special cases, such as security concerns or compliance checks, eHands personnel may review location data to protect client safety or resolve disputes. - Device Information – When you access or interact with the eHands platform, we may collect technical information from your device. This may include your IP address, browser type, operating system, device make and model, telecom provider, app version, device identifiers, advertising IDs, push notification tokens, and—in cases where login occurs via social accounts—public identifiers such as a Facebook user ID.
In certain cases, especially when location accuracy is essential, eHands may access mobile sensor data (such as motion, direction, or acceleration patterns) to better understand how the device is being used. This helps us enhance service performance, ensure security, and troubleshoot device-based issues. - Usage Information – To continuously improve the quality of our Services, eHands automatically tracks and analyzes how users engage with the platform. This includes the pages you visit, actions you perform, buttons you click, search terms used, time spent on tasks, and timestamps of visits. All this helps us identify user patterns, optimize features, and fix technical issues promptly.
- Call and Text Logs – For certain services or support requests, eHands may work with verified third-party providers to enable call or text-based communication between clients and assistants. When this happens, we may receive metadata about these interactions—such as call duration, date and time, participant phone numbers, and SMS content (if applicable). In select cases, calls may be monitored or recorded for training and quality assurance purposes. You will always receive a prompt or notification if your call is being recorded, and by continuing, you consent to this practice.
By using the Services, you agree to receive relevant communications via SMS or other messaging systems. You can opt out of promotional messages by replying “STOP” at any time or request more info by replying “HELP.” Standard messaging and data charges may apply.
Please note: eHands does not share opt-in text message data with any third-party or affiliate for marketing or promotional use. Your communication preferences remain under your control. - User Feedback – As part of the ongoing quality and trust-building process, both clients and assistants on the eHands platform may leave feedback after tasks are completed. This can include written reviews, star ratings, and overall satisfaction metrics. eHands may store and use this feedback to improve our services, evaluate performance, and display summaries on user or assistant profiles when relevant.
C) Information We Collect from External Sources (Background Verification for Assistants)
- Linked Accounts and Third-Party Services – If you choose to register or sign in to eHands using a third-party account (like Google or Facebook), we may collect limited public information from that service. This could include your name, email, profile photo, and other details you've agreed to share. The type of data we receive depends on the permissions granted during sign-up.
- Third-Party Data Partners – eHands may also receive supplementary information about you from trusted partners—such as demographic details, billing verification, or fraud detection insights. This information is merged with what we already hold to provide a more secure and personalized experience.
- Enterprise Clients and Institutions – If you are part of an organization that uses eHands through an enterprise partnership (like a corporate client, academic institution, or professional group), we may receive limited user information from your employer or sponsor. This might include your name, work email, phone number, or task requirements. In some cases, your organization may request assistant services on your behalf. These details are handled securely and are only used to deliver or manage your requested support.

These checks may include reviewing public records or, where permitted, validating identity and verifying any criminal history. This process helps ensure that all individuals operating on behalf of eHands meet our internal standards for reliability and integrity.

a) Information Use for Clients and Users
eHands uses the information we collect from users to provide a secure, smooth, and reliable virtual assistance experience. Specifically, we may use your data to:

a) Information Shared Between Clients and Assistants
When a client and a virtual assistant are matched through the eHands platform, certain details may be shared to ensure a smooth working relationship. This can include:
- Basic profile information such as names, profile pictures, ratings, and job role descriptions
- Details each party has voluntarily added to their eHands profile
- Any labels or notes attached to a service request, such as project names or time zone preferences
Assistants may also view the task details and communication preferences submitted by the client. Clients may see an assistant's general profile, previous ratings, or performance tags if relevant. Ratings and reviews may be shared on a periodic basis, such as weekly summaries. While eHands anonymizes this data where possible, we cannot guarantee that all feedback remains fully unidentifiable to the recipient.
eHands may allow direct communication between users and assistants through internal messaging or integrated call functions—but we do not disclose your personal phone numbers or email addresses unless you choose to do so.
In rare cases—such as helping locate a lost item or resolving an issue—we may request permission to share direct contact details to help reconnect both parties.
b) Sharing Between eHands and Third Parties
- API & Integration Partners – If you connect your eHands account through a third-party integration (such as productivity tools, communication platforms, or CRM systems), we may share certain usage data with that platform. This helps us enable the connection, exchange relevant details, or personalize your experience. You're responsible for keeping your business information accurate and updating your settings if your role or employer changes. - Global Partners – eHands may collaborate with international service networks to support clients who travel or operate across borders. If you use the platform while overseas, or request services that involve global assistants, we may share essential details (such as contact info and task details) with international partners to ensure seamless support. In some cases, we may not be able to anonymize your phone number for calls outside your region—so we recommend reviewing your privacy settings before initiating international connections.
- Website Inquiry Forms – When you fill out an inquiry or contact form on the eHands website, we may collect details such as your name, job title, company name, business website, location (city and country), email address, phone number, and postal code.
